PRIVACY POLICY
How we handle your information
KADZ Foundation Uganda (KFUG) protects personal information about children, families, staff, donors, volunteers, and visitors against unauthorized access, disclosure, or misuse.
1. Who we are
KADZ Foundation Uganda (KFUG) is a faith-based, non-profit organization registered in Uganda, with its head office in Kasambira Town Council, Kamuli District. We care for vulnerable children through education, healthcare, nutrition, shelter, practical skills, and community empowerment.
For all matters relating to this policy, KFUG is the data controller — meaning we decide why and how personal information is processed.
2. What we collect
We collect only what is necessary for our charitable purposes. Depending on how you interact with us, we may collect:
- Identity & contact data — name, email, phone number, postal address, WhatsApp number.
- Donation data — amount, date, donation method, and any reference you provide. We do not store full card numbers; payments are handled by our payment partners.
- Volunteer & partner enquiries — the message you send via our enquiry forms, and any attachments.
- Communication data — emails, SMS, WhatsApp messages, and correspondence with us.
- Beneficiary data (children and families) — collected in person, under strict safeguarding and consent rules, and only from parents, guardians, or authorized caregivers.
- Technical data — IP address, browser type, device type, referring page, and general location (country-level), collected via analytics and server logs.
3. How we use your information
We use personal information to:
- Respond to enquiries, sponsorships, volunteer applications, and partnership requests.
- Process and acknowledge donations, and issue receipts where applicable.
- Administer programmes safely, including safeguarding checks on staff and volunteers.
- Report to donors, regulators, and authorities as required by law or grant agreements.
- Improve our website, services, and communications.
- Send optional updates — only if you have opted in; every message includes an unsubscribe link.
We never sell your personal information, and we do not use it for advertising purposes.
4. Legal basis for processing
We rely on one or more of the following legal grounds:
- Consent — when you subscribe, send us a message, or agree to be contacted.
- Contract — to process a donation or deliver an agreed service.
- Legal obligation — to comply with Ugandan law, donor agreements, and tax requirements.
- Legitimate interest — to run our programmes safely, prevent fraud, and improve our services.
- Vital interest — to protect a child or vulnerable person in an emergency.
5. Children’s information
Because we care for children, we hold ourselves to a higher standard:
- We collect children’s information only from parents, guardians, or authorized caregivers — never directly from a child online.
- Photographs, videos, and personal stories are published only with written consent from a parent or guardian, and are reviewed against our Child Protection & Safeguarding Policy.
- We never publish identifying details (full name, school, exact location) alongside a child’s photograph without explicit, documented consent.
- Any safeguarding concern is handled by our safeguarding focal point and, where required, referred to the relevant authorities.
6. When we share information
We share personal information only:
- With service providers who help us operate — for example, email services, payment processors, and website hosting — under written agreements requiring confidentiality.
- With donors and partners — only with your consent, and only what is strictly necessary to fulfil the donation or programme.
- With authorities — when required by law, court order, or to protect a child or vulnerable person.
- In a merger or transfer — if KFUG’s charitable activities are transferred to another eligible non-profit, with continued protection of your information.
We do not share personal information for marketing purposes.
7. How long we keep it
We keep personal information only as long as needed:
- Enquiries — up to 24 months after our last contact, unless you ask us to delete earlier.
- Donation records — at least 7 years, to comply with financial and audit requirements.
- Volunteer & safeguarding records — for the duration of your involvement, then for the retention period required by Ugandan law.
- Children’s records — in line with our safeguarding policy and Uganda’s child protection laws.
8. How we protect it
We use appropriate technical and organizational measures:
- HTTPS encryption for our website.
- Restricted access on a need-to-know basis, with role-based permissions.
- Regular backups and security updates.
- Confidentiality commitments from staff, volunteers, and contractors.
- Written safeguarding procedures for anyone working with children.
If a data breach occurs, we will notify affected individuals and the relevant authorities without undue delay.
9. Cookies & analytics
Our website uses only the cookies necessary to make the site work and — if you consent — a small amount of analytics to understand how visitors find us. You can disable cookies in your browser at any time. We do not use advertising cookies.
10. Your rights
You have the right to:
- Access the personal information we hold about you.
- Correct anything inaccurate.
- Delete your information (subject to legal retention obligations).
- Restrict or object to certain processing.
- Withdraw consent at any time.
- Complain to KFUG or to the relevant supervisory authority.
To exercise any of these rights, contact us using the details below. We respond within 30 days.
11. Third-party services
Our website links to third-party services such as WhatsApp, email providers, and payment processors. Each has its own privacy policy. We encourage you to read them before submitting personal information through them.
12. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top of the page shows when changes were made. Material changes will be announced on this page.
